The Executive Partner is a highly trusted and visible role, providing unparalleled support to the Chief Executive Officer (CEO) and Executive Leadership Team (ELT). The Executive Partner proactively initiates and prioritizes a variety of complex, diversified, confidential, and comprehensive administrative support to senior executives, all while executing with good judgment, discretion, and concise communication. The Executive Partner is responsible for building relationships with the CEO, ELT and senior leaders across the business to manage schedules, handle detailed travel itineraries, plan meetings of all sizes, reconcile and submit expenses and more.

The ideal candidate will reside near the New York City corporate office for ease of commuting in as needed, a minimum of 2x weekly.

Essential Job Duties

  • Develops and maintains collaborative and trusting working relationships with all internal and external constituents.
  • Manage CEO’s calendar and support ELT with complex calendar management. Ensure meetings reflect priorities, are aligned across the ELT, are scheduled timely, and are adjusted based on business needs.
  • Support CEO and ELT in preparing for team meetings and sending follow-ups from meetings. This includes preparing presentations and other materials, scheduling lunches/dinners, greeting external guests, making hotel reservations for out-of-town guests, and capturing action items and sharing meeting notes once the meetings conclude.
  • Prepare documents, reports, research and manage special projects as requested in a timely and accurate manner.
  • Partner with the Head of Internal Communications and the Marketing team in supporting the CEO and ELT with internal and external communications including correspondence, invoices, engagement letters, and presentation materials.
  • Collaborating with necessary stakeholders to collect and compile data and prepare reports as needed.
  • Manage travel itineraries for the CEO and ELT members, assist in travel arrangements for Senior level candidates and interviews during the recruitment process.
  • Handle sensitive and urgent information from clients while exercising judgment in responding to unique and urgent situations.
  • Reconcile and submit expense reports for the CEO and ELT members in line with expense reporting guidelines.
  • Act as the primary contact for the Corporate Headquarters and partner with the facilities team as needed.

  • Travel 10-25%, including overnight travel


Required Education, Experience, Certifications, And Skills

  • 7+ years of relevant experience, including direct support of a C-Suite position.
  • Demonstrated ability in using Microsoft Office products (Word, Excel, PowerPoint, etc.)
  • Excellent organizational and prioritization skills with high attention to detail and the ability to meet deadlines and respond to urgent situations.
  • Excellent interpersonal skills with ability to effectively listen and interact with team members at all levels and external stakeholders.
  • Exercises sound judgment in responding to inquiries with ability to take initiative in making tasks more streamlined.
  • Strong attention to detail.
  • Exceptional written and verbal communication skills, including a good grasp of formal grammar style.
  • Ability to handle confidential information with discretion.
  • Excellent ability to anticipate needs and take ownership on tasks with little supervision.
  • Service oriented with proven ability to maintain composure under pressure in a fast-paced, constantly changing environment.
  • Flexibility and willingness to work outside of normal business hours as unique projects/needs arise.


The base salary range for this US-based, full-time, and exempt position is $115,000-$130,000, not including variable compensation. An employee’s exact starting salary will be based on various factors including but not limited to experience, education, training, merit, location, and the ability to exemplify the HHAeXchange core values.
