Procure to Pay Administrator

Responsible for facilitating the global indirect buying programs with timely support and configuration of P2P system (Coupa). Works with the various internal business and external partners to streamline how WFM sources products, focusing on partnership, transparency, integrity, and ease of procurement. Strives to maximize process effectiveness and minimize costs.Additional Information:* This role will observe the 3-day hybrid office model and be based in Austin, TX.

Responsibilities

  • Manage user accounts and access permissions within Coupa.
  • Configure and maintain supplier information, including setting up new vendors and managing catalogs.
  • Establish and maintain appropriate Purchase Order (PO) and invoicing workflows as per guidance from Procurement stakeholders.
  • Perform system health checks and troubleshoot technical issues.
  • Stay up-to-date on Coupa best practices and implement new features and functionalities.
  • Provide exceptional support to internal users on all aspects of Coupa, including generating reports, answering questions, and resolving issues.
  • Conduct training sessions for new users and facilitate adoption of the Coupa platform.
  • Proactively identify user needs and recommend system enhancements to improve efficiency.
  • Generate reports from Coupa to provide insights into procurement activities and spending patterns.
  • Analyze P2P data to identify opportunities for cost savings and process improvements.
  • Collaborate with stakeholders across departments (Finance, Procurement, etc.) to ensure reporting needs are met.
  • Assists with other projects as assigned.

Skills

  • Proficient in the use of standard procurement tools and methods
  • Capable of performing mathematical and statistical analyses.
  • Skilled in Excel, PowerPoint, Word, product improvement software, and data analysis/query software.
  • Familiar with procure-to-pay technical platforms (Coupa, Workday).
  • Excellent communication skills, including written, verbal, and listening.
  • Tailors communication approach to specific situations and audiences.
  • Understands the standard project management methodologies and requirements.
  • Plans, estimates, organizes and monitors projects.
  • Understand the company’s and the business unit’s associated procurement strategies, goals, and objectives.
  • Understand the WFM product mix, supply base, and retail operations.

Education & Experience

  • BA/BS degree and 2-4+ years’ relevant experience OR equivalent combination of education and relevant experience.
  • Experience administering a P2P system (Coupa preferred)
