SmartDrive System Administrator

Reports to: Director, Quality Assurance and Compliance, Americas

Location: Based in our Corporate near DFW Airport, or this can be remote with the location approved by the hiring manager.

Overview

This role overseas the software piece of Smart Drive equipment installed in company vehicles, provides training and serves as point of contact for our internal stakeholders as well as partners with our external stakeholders in the event of any software issues that may arise.

Main Accountabilities Include

Support of the Smart Drive safety program to include:

  • Working with stations to assist with onboarding of new locations.
  • Working with Smart Drive contacts directly in the event of software issues, follow-up and follow through, including but not limited to development of trouble shooting guide.
  • Acting as liaison between stations, SmartDrive customer service and SmartDrive technical support
  • Ensuring users, stations, vehicle and product information are properly updated in the system
  • Provide regular training on the system to existing and new station staff in the Americas.
  • Frequent auditing ensuring compliance of user profiles, training and up-keep of various SharePoint related folders.
  • Main point of contact for the software piece of the program and subject matter expert for station leadership included but not limited to on-call availability.
  • Compliance monitoring and reporting of the SmartDrive Safety Score, Coaching Performance and Equipment Health against Company standards and goals.
  • Proactively review events to determine whether observations qualify for dismissal.
  • Review and analysis of program data to identify trends, opportunities for improvement, and best practices.
  • Responsible for developing and distribution of various reports including assisting the Program Manager compiling audit reports in preparation of audit reviews.
  • Included but not limited to development and distribution of newsletters and other assigned tasks aiding the Program Manager

Leads, Supervisors, And Managers Have The Following Safety-related Responsibilities

  • Participate as a key member of the network risk management team promoting & driving the ‘Safety First’ culture – to include exercising Stop Work Authority (SWA) as necessary to prevent unsafe conditions or acts.
  • Lead by example and immediately correct at-risk behaviors of staff; and provide on-the-spot training and coaching, as required.
  • Ensure the cascade of relevant Safety information to staff via daily shift briefings.
  • Implement the MA Safety Management System (SMS) within their area of control and encourage the engagement of their staff in the safety management processes
  • Be familiar with all aspects of the local Emergency Response Plan/Local Contingency Plan
  • Ensure staff adherence to Standard Operating Procedures (SOPs) and associated training
  • Ensure that equipment is properly inspected before use; and that unsafe equipment is properly removed from service (via Red Tag and/or Lockout/Tagout procedures).
  • Actively promote Menzies’ Fair & Just reporting culture at all levels of the business.
  • Assume responsibility for reporting incidents and accidents into MORSE; and participate in required investigations and implementation of corrective actions.
  • Maintain focus on operational procedures to ensure changing risks are addressed (via written and dynamic Risk Assessments) and safe working practices developed and adopted (via documented Local Operating Procedures and Training).
  • Complete routine performance assessments of people, processes, and facilities/equipment using the SMART tool.
  • Other duties as assigned.

  • Carry out work in accordance with information and training provided and any specific workplace health and safety rules or procedures.
  • Fully understand the company health and safety policy.
  • Attend training courses as may be arranged by the Company.

Qualifications And Experience

  • System or program experience demonstrated by a successful track record of managing change and delivering benefits through new programs.
  • Experience of working within a fast-moving, evolving environment with new technology/services/infrastructure/priorities and working practices (processes).
  • Excellent organizational, forward-thinking, planning and administrative skills and a strong eye for detail.
  • Ability to work independently and a good team player, with a hands-on, practical approach in providing solutions in a challenging and dynamic environment.
  • Excellent interpersonal and vendor management skills with the ability to communicate with people at different levels and from different geographical and ethnic cultures.
  • Experience of working in a busy, sometimes high pressure environment.
  • Experience of dealing with work of a confidential and sensitive nature.
  • IT background preferred.
  • PC (Word, Excel, PowerPoint) literate to a proficient level.
  • Fluent in both written & spoken English. Ability to speak and write in Spanish is preferred.
  • Enthusiastic, self-motivated and disciplined
  • Flexible hours based on the needs of the company (may require work outside of regular business hours).
  • Ability to work from the Corporate Office in Fort Worth, Texas
  • Must pass pre-employment background and drug test.
