Role Description

The candidate will be responsible for a range of office, reception, and logistical support tasks to help ensure the smooth day-to-day operation of the Sasaki Boston office. The successful candidate will be self-motivated, enthusiastic to work across a variety of office studios, and able to manage their time while being flexible to address needs as they arise.

Key Responsibilities

  • Coordinating travel arrangements, both domestic and international, as well as troubleshooting last-minute travel emergencies across offices
  • Compiling and submitting expense reports
  • Tracking and maintaining professional registrations and memberships
  • Coordinating and optimizing meeting schedules for senior staff, including managing ahigh volume of overlapping requests and proactively identifying and resolving scheduling conflicts.
  • Provide routine clerical support as needed
  • Other duties as assigned

Qualifications

  • Proficiency with office technology, including phone system, email, Google suite, Slack, etc.
  • Excellent written and oral communication skills
  • Exceptional customer service skills
  • Detail-oriented
  • Ability to comfortably multitask and shift gears throughout the workday
  • Strong organizational and planning skills, including the ability to prioritize tasks according to urgency
