From my experience, here are few of the best practices to make the user experience journey easy on any new platform, tool or software;
1.) Learn the basics well or get trained if required from an external partner & keep some tutorial videos handy
2.) Start using the simplest module in the platform with minimum data
3.) Do not make any customisations or enable new features/functionalities before understanding the platform as it is
4.) Run a couple of trial & error internal transactions on the platform with few users before going live

When users find a platform too complicated, it’s important to make it easier to use. Start by simplifying the layout; remove features that aren't needed to avoid confusion. Next, make navigation straightforward with clear labels that help users move through the platform easily. Also, provide guides or tips that users can access whenever they need help, which can make learning simpler. Listening to users and asking for their feedback can also be helpful; find out how they’ve dealt with complex systems before and use those ideas. By focusing on clarity and support, you’ll create a friendlier and more effective experience for everyone.

To simplify participants' experience on a complex platform, I would first provide a clear, step-by-step guide or tutorial that breaks down key functions into manageable tasks. Offering hands-on demos or interactive walk-throughs can also help them get comfortable with the platform. Additionally, I’d streamline navigation by highlighting the most frequently used features and creating easy-to-access support resources, such as a FAQ or quick-reference guide.

Today's professionals should be fine with using the technology & virtual learning tools. Enough training should be given to participants on how to use the tool. Even if they find it difficult, there are multiple videos in YouTube on how to use technology. These videos are available in multiple languages. So people can easily learn through. If the facilitator is kind & supportive, participants will certainly get the hold soon.

Sometimes the system set-up can't be further improved and you need to manage the limitations.
Short video tutorials and written step-by-step instructions can help users to get familiar with the system.
Additionally, the communication can explain the benefits of the system though to motivate the users learning how the system is being used.
