Here's how you can deliver impactful feedback on design performance.

study of the scope is essential to take action on intended tasks. so collection of data is the important key. defining the timeframe for completion of works is also important to decide on assigning right resources on desired activities. equally important is to plan the sequence of actions involved. any given scope can be divided into difference process areas to easily manage the work progress. when all the sub processes are derived and needed resources are identified, project planning can be formulated. a well written plan is as good as a guide to execute the project.

To make impactfull feedback, must have complete knowledge in all side, hand on skill/ competency, years proven experiences and the last ones most important, honest coming from the deepest heart.

At the beginning of each design is a problem that needs solving. It is important to Identify and understand the problem that the design is trying to solve and by whom this problem is relevant before embarking on feedback.

In my experience, a "Project Charter" having the context, demand information and business case information is an ideal document to familiarize with objectives, constraints and the rationale behind design decisions. Another thing that can help in impactful feedback is having construction and operations/customers personnel part of the design review. While construction personnel deal with implications of design, operations/customers ultimately use the design.

Feedback should be specific and not of a general criticism. Identify any design elements that are non compliant to applicable codes and standards and that may lead to unsafe or unreliable situation. Review input and assumptions to endure accurate outcome of modelling and calculations. Report any invalid input and assumptions and errors in calculations. Validation techniques should be applied to check quality of design and appropriate feedback should be given and documented for future audit. Any feedback should be a two way process where the designer should be given opportunity to explain and discuss his or her view points for the designs developed. It is important that a second opinion is sought prior to giving final feedback.

Along with the specific feedback, one should provide further guidance on how to improve. As an experienced person, we can easily judge particular mistakes or errors in design. We also know the reason of it. So it is great of we directly point out the pain area to the designer, then project will definitely in a better path.

Feedback and comments should be SMART. S in SMART stands for being specific. That is one of the pillars of efficiency including in feedbacks as part of the design process.

Specificity always gives clarity on what to do. It always give clear understanding of improvement...so improvements done in less time

When providing feedback, specificity is crucial. Vague comments can lead to confusion or misinterpretation, so it's important to identify specific areas of the design that require improvement and explain why changes are needed. For example, if a component isn't performing as expected, detail the issue and its effect on the overall design. By being specific, you help designers make targeted adjustments rather than guessing what needs to be fixed. This approach ensures your feedback is actionable and directly enhances the design.

Verbal feedback or email feedback should always have a CRC (compliment, recommendations, compliments) approach. This sandwich approach ensures that the recommendation will be implemented. This encourages the morale to incorporate the feedback. However on design documents/drawings feedback should be clear , concise and relevant. On such design documents no balancing is required.

To every project there are always 2 sides: Merits & Demerits. It is crucial for one to be able to balance all stakes keeping in mind that measurables vs time determine the outcomes of any project. Analytical prowess is vital in pointing out where the project is headed based on selected variables-budget,time,resources,manpower,machinery.

positive feedback with constructive criticism maintains morale and encourages improvement. Recognizing successful elements and identifying flaws helps establish design standards and motivates teams to think wider and create their best practices.

Responses from all the stakeholders are important. A very small suggestion from any department will add value to the product or it will reduce the upcoming issues.

When proposing alternatives, aim to get on the same side of the table working together to come up with the best options. Using alternative matrices to generate, compare and contrast options is a good way to make thinking visible and by offering pros and cons for all ideas including any you generate can help make any feedback offered for other ideas less adversarial i.e. not my idea vs your idea. Including the do nothing option and having pros or cons for that can also be a good way of making it obvious, why something is a problem, how big, and why a change may be beneficial.

Emphasize on problem doesn't work, but Providing actionable suggestions help the design teams understand and implement improvements.

There might be stages when new problem will arise while doing design, need to address them in assertive manner and move ahead

With proper understanding about the problem in hand we can give feedbacks based on our level of knowledge and experience. But it should be constructive. The team should be involved in the discussions and should be encouraged for their work. This could also toss new ideas and perspectives which was not perceived before.

I try to create an open and respectful environment by actively listening to team members and valuing their perspectives. I encourage questions and discussions during feedback, to show that I am open to different viewpoints and ready to engage in constructive dialogue. It's important to invite designers to respond to your feedback, ask questions, and explore potential improvements together. Creating a space for open dialogue ensures that feedback is appreciated and utilized as a tool for team development.

Encouraging dialogue is crucial for effective feedback, especially in complex fields like oil and gas. Instead of a one-way critique, invite designers to respond to your observations, ask questions, and discuss potential improvements. For example, if reviewing a new heat exchanger system, you might say, "I have concerns about the heat exchanger's efficiency during peak loads. Can we review the thermal performance calculations and explore alternative configurations?" This approach fosters a collaborative environment, allowing designers to explain their rationale and consider different solutions. Engaging in open communication ensures feedback is valued and leads to better project outcomes through collective problem-solving.

Design review process is most efficient when it is a 2 way dialogue. First to understand the designer's point of view which may assist in design process. Second, to confirm that the feed back was understood correctly by the designer. This is one of the pillars of positive communication technique.

Communication is the key while doing development activities. Two way communication is important while doing design activities

Top-down critics don't work. Fostering a two-way conversation, allowing the designer to explain their choices and ask questions.

To complete the design process most productively, a follow up session is required for both parties to be satisfied with the design outcomes, or provide an action plan to complete the design to comply with the project specifications.

Provide follow-up feedback after revisions have been made to show that you are engaged in the design process and to acknowledge improvements.

No feedback should fall through the cracks hence a follow up is must incase the feedback is not implemented with a duration of time. Every feedback should be time bound so that an action can be taken and a desired objective is achieved.

To deliver impactful feedback to one’s resources, it is important to bear in mind the growth and development, both personally and professionally of that resource. As leader, I focus on, observing a resource’s behaviour and set clear expectations, providing examples, and encourage self-reflection. The feedback should be specific, prompt, and meaningful, and have a significant impact on the resource's behaviour, performance, or perspective. Highlight clearly what tasks was done well or needs improvement and focus on specific behaviours or actions. Aim on observable facts, not personal biases. Constructiveness should be aimed at improving performance, not criticising. Also, provide concrete suggestions for improvement, respectfully.

I've found the most useful feedback I've received often comes from 'difficult' customers. The type of people who really tell you what they think, and almost get enjoyment out of finding and pointing out your mistakes. At least you can be sure they will tell you everything and tell you early! You have a much better chance of a successful project if you can fix as many mistakes as you can while they are still on paper, so embrace those difficult conversations & see the benefit you get from them. If you have a nagging feeling of not wanting to talk to someone because they point out all your mistakes, then that is exactly who you should be talking to. remind yourself that they are helping your project succeed.

Design performance to be assessed with respect to realistic specification/s with cost competitiveness/ optimisation. So it is important to have a valid specification with demonstration procedures…

Always ensure you use first principles as a foundation for any comment, follow up, or solution. Without data and numbers, it is just opinion. Once you quantify something, it is objective.

Price vs Quality : One thing that must be confirmed from the user is their priority. Some user wanted to have high quality and performance, but have limited budget.
