How can you ensure all partners meet grant project responsibilities?

Sometimes the grant partners are within your own organization, if it is a large enough nonprofit. As I write this, I am actually preparing for just such a meeting the next day. Multiple program directors and content experts will provide essential portions of the entire proposal, which I will coordinate. As the assigned grant expert, it is my role to provide the documentation, the timeline, the expectations, and the encouragement for those staff members who are uncomfortable with the grant process. We all have a part to play. I have always considered the organization’s staff as my “front-line”, supporting them with grant dollars and process expertise, and hopefully to provide them with funds that serve marginalized communities.

So, grab your pencils, because we're outlining: What's each partner's piece of the pie? Who's writing reports, leading research, or building bat houses (if your project involves bats)? What are the promised goodies? Data analysis reports, community workshops, or a herd of happy goats (again, project-dependent)? When are things due? Deadlines, milestones, and progress-check intervals – let's avoid eleventh-hour scrambles! Who's spending what and on what? Clear financial boundaries keep everyone singing the same financial tune. How do we share the story? Regular updates, final reports, and maybe even a celebratory blog post – transparency is key!

Implement a 'role rotation' system where partners periodically swap roles for a day to foster empathy and a deeper understanding of each other’s responsibilities, enhancing teamwork and accountability.

• Sign a Memorandum of Understanding (MoU): This document should outline the project goals, partner roles, communication protocols, conflict resolution procedures, and consequences for non-performance. • Address issues promptly: Don't ignore potential problems; address them proactively and collaboratively to prevent escalation. • Have a clear escalation process: Establish a clear procedure for addressing non-performance, including mediation, renegotiation of roles, or even termination of partnerships in extreme cases.

We will establish clear expectations and timelines for each partner's role and responsibilities at the outset of the project. Regular check-ins and progress updates will be scheduled to monitor the status of tasks and address any challenges or delays promptly. Additionally, we will maintain open lines of communication to facilitate collaboration and problem-solving among partners. By fostering a culture of transparency and accountability, we can ensure that all partners fulfill their obligations and contribute to the success of the grant project.

Communication is at the top of my list in this category. Not all minds will agree and a disagreement is just another opinion, not a show stopper. just a gut check and an opportunity to evaluate the direction the group is headed.

Use collaborative storytelling platforms where each partner can share updates in a narrative format, making progress reports more engaging and personal.

Communicate effectively. It is important to not just communicate but communicate in a way that all partners are willing and able to. Example: Personally, I prefer using Microsoft Teams to communicate. However, if I am working with partners who do not use it as often as I do, it may cause them to not communicate with me promptly and effectively.

Using a project management tool, like Monday.com, Asana, or Basecamp, will greatly help all teams across your organization involved in grant projects. The platform will allow team members to schedule tasks, assign deadlines, and track progress allowing everyone to stay organized and on task. A project management platform is especially helpful if some/all team members work remotely or on a hybrid schedule.

Introduce an ‘open metrics dashboard’ accessible to all partners, displaying real-time data on project milestones and challenges, fostering a culture of transparency and collective problem-solving.

Maintain transparency in decision-making processes and project management. Keep all partners informed about important developments, decisions, and changes to project plans. Conflict Resolution Mechanisms: Establish clear procedures for resolving partner conflicts or disagreements. Encourage open communication and mediation to address issues constructively.

Conduct ‘future scenario planning’ workshops where partners collaboratively envision and plan for various potential futures of the project, enhancing strategic foresight and preparedness.

Monitoring and oversight: - Establish performance indicators: Clearly define KPIs for each partner's activities. These metrics will help track progress, identify potential deviations, and measure the impact of each partner's contribution. - Conduct regular progress reviews: Schedule regular meetings or reports to review each partner's progress against agreed-upon goals and timelines. - Use these reviews to identify any challenges, provide feedback, and adjust strategies if needed. - Implement a monitoring system: Consider establishing a formal monitoring system, such as online dashboards or project management tools, to track progress, share data, and identify potential issues in real time. - Build trust and relationships.

Encourage partners to engage in joint CSR (Corporate Social Responsibility) initiatives related to the grant project. This can strengthen the partnership beyond the project and contribute to broader social impact.

People differ. Recruit for personal connection and heartfelt passion to meaning, purpose, aims, and intended outcomes. Select for investing and influencing "the commons" in structured and positive ways. Too often, people put hands up, or get actively recruited, for interests unrelated to "the commons". They sign up to gain esteem and advance careers or reputations. Little effort is given the cause or governance. Some rarely show up. Or they exercise presentism. Or they boastfully control dialogue yet have no sense of process or etiology of an item. They disregard protocol. And they can due to prominence or politics. Sell out. Effective governance flows from strategic and conscientious recruitment.
