We're seeking a dynamic professional who leads and specializes in the planning, coordination, and execution of events to be our next Special Events Division Director!
This person will be responsible for orchestrating every detail to ensure the event unfolds seamlessly, meeting the objectives and expectations of clients and attendees alike. The ideal candidate will not only serve as the architect of live experiences but will manage logistics that will leave a lasting impression. This role is a dynamic mix of project management, creative development, and stakeholder coordination and participation.
SALARY
$109,470.40 to $125,890.96, depending on qualifications
ESSENTIAL DUTIES include, but are not limited to:
+ Manages all city special events.
+ Oversees and provides daily support to events department team.
Responsible for the department’s strategic plan and development of special events.
+ Oversees all aspects of events including planning, coordination, and execution of events ranging from large meetings to large-scale festivals.
+ Oversees the entire lifecycle of an event, from initial concept leading to the event finale, ensuring each detail aligns with the vision and goals of the event.
+ Oversees and maintains annually calendar of all city events.
+ Manages the department’s budget as well as each individual event budget.
+ Oversees event timelines and vendor contact lists.
+ Responsible for maintaining strong client relationships throughout the event planning process and beyond.
+ Responsible for the oversight of all event agreements/contracts.
+ Works with the legal department to ensure legal review of all event contracts/agreements.
+ Working with the special events team develops creative event concepts and themes that align with the city’s objectives and brand.
+ Responsible for the oversight of event proposals, timelines, suppliers, staffing and budgets.
+ Oversees securing and managing venue contracts, as well as coordinating with external vendors such as caterers, decorators, and AV technicians, city department support, etc.
+ Oversees the logistical aspects of the event, including setup, transportation, and accommodation for attendees.
+ Coordinates with the communications team to promote the event and manage the brand presence across various channels.
+ Leads cross-functional teams, including internal staff and external contractors, to execute the event plan.
+ Conducts post-event evaluations to gather feedback, assess the event's success, and identify areas for improvement.
