These contracts should outline expectations, SLAs, compliance requirements, and payment terms. Clear contracts provide a foundation for accountability and help prevent misunderstandings. 2. Regular Performance Reviews 🔍 Conduct regular performance reviews with your providers to assess their service quality and compliance with your expectations. These reviews allow you to address any issues early and maintain high standards across all providers. 3. Leverage Technology 💻 Utilize technology to automate as much of the provider management process as possible. Automation can store data at the location, district, and trade levels, informing vendors of best practices and processes before they accept a job. This reduces manual errors, streamlines communication, and ensures consistency in service delivery. Additionally, automation can send reminders about contractual documents, such as insurance, and prevent non-compliant providers from being assigned work. 4. Data-Driven Decision Making 📈 Use the data available from your management system to make informed decisions about Not-To-Exceed (NTE) amounts, future budgeting, and which providers to continue working with. This ensures that your decisions are based on performance and compliance metrics, leading to better outcomes. Here's what you need to know about Washington State's new regulations on HFC management 👇 Washington is taking a firm stance on reducing HFC emissions with new regulations that affect facilities of all sizes. These rules require early preparation and strict compliance to minimize environmental impact. ✅ Facility Registration | Depending on size, facilities must register by the following dates: Large Facilities (>1,500 lbs): Register by March 15, 2024 Medium Facilities (200-1,499 lbs): Register by March 15, 2026 Small Facilities (50-199 lbs): Register by March 15, 2028 🔍 Leak Inspections | Facilities must conduct regular leak inspections and repairs with a certified technician, with the following schedule: Large Facilities: Monthly Medium Facilities: Quarterly Small Facilities: Annually Leaks must be repaired within 14 days of detection, a significantly shorter timeframe than the EPA's 30-day requirement. Failure to repair leaks within this period may necessitate a retrofit or retirement plan for the leaking system. 📋 Recordkeeping: Comprehensive documentation is required for all systems with over 50 lbs of high-GWP refrigerants. Meanwhile, medium and large facilities must submit annual facility reports.
