We are seeking a Benefits Assistant who will inform and guide employees on benefits, leave, and wellness programs. They will process benefits transactions, compile, and maintain benefit records and documentation.

Responsibilities

  • Review, approve, and ensure the accuracy of all benefits enrollments, changes, and terminations along with qualifying events in the HRIS and benefit provider systems.
  • Administer COBRA and assist in the FSA and 401(k) administration. Liaison to COBRA and FSA administrator.
  • Communicate effectively with new and current employees regarding all facets of benefits and wellness. Ensure legal notices and documents are distributed within mandated due dates as assigned.
  • Oversee employee benefits records in HRIS, Doclink, and benefit providers systems meeting HIPAA regulations.
  • Respond to benefits inquiries from employees and management on plan provisions, benefits enrollments, status changes, and other general inquiries.
  • Interact with vendors about questions, issues, systems, and on-going projects.
  • Manage employees’ ACA designations in ADP.
  • Support benefits communications creation, HRIS set-up, HRIS invoices, open enrollment, employee meetings and ACA.
  • Develop and maintain employee benefits and wellness procedures with strong focus on continued process improvement and corrective action when applicable.
  • Assist in the creation and maintenance of benefits and leaves.
  • Assist in New Hire Orientation – Part 2 (Benefits): Develop, maintain, and deliver the benefits and wellness presentation and corresponding videos. Additionally, manage the scheduling and tracking of new and rehired employees.
  • Administer leave-of-absence requests and disability paperwork for medical, personal, disability, and FMLA. Direct liaison to insurance company and FMLA administrator.
  • Effectively interpret FMLA implications on company policy as they relate to leaves of absences, disabilities, and workers compensation.
  • Assist in ADA accommodations process and documentation.
  • Compile and provide necessary reports to applicable parties as needed.
  • Understand current corporate plans, practices, procedures, and policies.
  • Ensure compliance with federal, state, and local laws.
  • Develop constructive and cooperative working relationships with employees and manage overall wellbeing and vendors and maintaining them over time.
  • Ability to embrace corporate values, understand the company vision and exemplify company leadership behaviors.

Qualifications

  • 1+ year experience in a similar role preferred.
  • Working knowledge of federal, state, and local laws preferred.
  • Proficient with Microsoft Office Suite and various web-based applications for human resources and benefits.
  • Experience using ADP Workforce preferred.
  • Ability to work from home and prioritize tasks, create a daily schedule, and avoid distractions to make the most of your workday.
  • Able to stay focused and committed even without direct supervision.
  • Able to build strong relationships with colleagues despite physical distance.
  • Ability to supervise tasks.
  • Exceptional customer service and organizational skills are necessary.
  • Analytical and observational skills which demonstrates the ability to plan their work, deliver results, and have continued process improvement.
  • Demonstrated ability to establish effective and cooperative working relationships built on trust.
  • Skilled in managing sudden changes in priorities, smoothly transitioning between tasks without any drop in productivity, all while maintaining a flexible and empathetic attitude.
  • Capable of communicating effectively through both written and verbal means, adept at drafting reports and plans.

Shift is Monday-Friday between the hours of 8:00 a.m. to 5:00 p.m. CST but must be able to work outside normal business hours when required.
