Summary

We are seeking a highly skilled and experienced Enterprise Program Manager – AI to lead and oversee the Firm’s AI Program and delivery of AI technologies. This individual will be responsible for overseeing and managing program governance, coordinating across workstreams in the evaluation, planning and delivery of large scale AI technologies while leading communications and change management with workstream leads, executive sponsors and legal practice leaders. This role requires exceptional leadership, communication, and organizational skills to manage cross-functional teams and ensure successful program outcomes. The ideal candidate will also possess a strong blend of technical acumen, program management skills, and an understanding of legal workflows, ultimately enabling to drive our strategic objectives in this space.

Key Responsibilities

Strategic Planning:

  • Work with the CIO and Program Executive Sponsors (Chief of Staff and COO/CFO) to ensure objectives are strategically aligned to, and directly support/facilitate, the overarching goals of the firm.
  • Stay updated on the latest legal technology trends and innovations and propose new solutions to inform and improve the firm’s strategic technology-enabled initiatives.

Program Management

  • Oversee all aspects of program management including scope definition, requirements, timeline, budget, and resources. Ensure AI projects are scoped, requirements documented, major milestones and timelines identified in a project plan and ultimately, the delivery of those projects with minimal disruption to the business and legal practices.
  • Provide regular written and verbal updates, reports, and presentations to Program Executive Sponsors and Legal Practice Leadership on the status of AI projects including progress against plan, issues, risks/dependencies and decision points.
  • Establish regular reporting requirements including standard status reports and reporting cadence.
  • Manage relationships with AI technology vendors, assist in contract negotiation, and ensure third party service quality & utilization is measured and aligns to the needs of the firm.

Process Improvement

  • Implement best practices and continuous improvement processes to enhance program efficiency and effectiveness, specifically in the evaluation and delivery (implementation, training and adoption) of AI technologies within the legal practices.

Stakeholder Engagement

  • Build and maintain strong relationships with key stakeholders including workstream leads, Program Executive Sponsors and Legal Practice Leadership, ensuring clear communication and alignment throughout the program lifecycle.
  • Ability to redirect as needed while addressing and removing barriers to individual workstreams or projects.
  • Develop and execute change management strategies to support program adoption and success.

Leadership

  • Lead and mentor cross-functional teams, fostering a collaborative and high-performance work environment.
  • Serve as the glue or center of gravity for the AI program by demonstrating strong leadership skills and connecting the dots across multiple stakeholders.
  • Ability to pivot on projects quickly, transitioning between multiple priorities throughout the day as workflow needs change, responding with flexibility in this rapidly changing environment.

Risk Management

  • Identify, assess, and mitigate potential risks to the program. Develop and implement risk management plans to ensure program continuity.

Budget Management

  • Manage program budgets, including forecasting, monitoring expenditures, and ensuring financial discipline.

Performance Monitoring

  • Track and report on program performance metrics, providing regular updates to executive management.

Methodologies

  • Utilize Agile methodology as appropriate to ensure flexible and efficient program delivery.

LOCATION

The role will be based in our Kansas City or Dallas office.

REPORTING RELATIONSHIP

The role is highly visible and will sit within the Polsinelli IT Department, reporting to the CIO, with a strong and regular reporting relationship to the Program Executive Sponsors (Chief of Staff and COO/CFO).

Qualifications

  • Must have 5+ years of Business Analyst and/or Business Relationship Management experience.
  • Must have 10+ years of Project and/or Program Management experience.
  • Ideally will possess the one or more of the following certifications:
    • BRMI: BRMP, CBRM
    • PMI: PMP, PfMP, PgMP, PBA
  • Experience working with directly with the executive team presenting complex concepts and designing/presenting/delivering effective strategies in highly technical environments.
  • Prefer experience working in legal (AmLAw 100) or consulting industries.
