Event Coordinator

The Event Coordinator will be responsible for planning, organizing, and executing a variety of events that enhance our community engagement and customer experience. This role will primarily focus on events for Coffee Inclusive, but will also support events for our sister companies, PA Inclusive, and Bake Inclusive. The ideal candidate will have a passion for event planning, excellent organizational skills, and the ability to work collaboratively with a diverse team.

Job Duties

  • Plan and execute a wide range of events including community gatherings, festivals, catering, and in-house events.
  • Coordinate with vendors, suppliers, and partners to ensure seamless event execution.
  • Manage event logistics including venue set-up, catering, staffing including volunteers, transportation, and audio-visual requirements.
  • Collaborate with marketing to promote events through social media, email newsletters, and other channels.
  • Manage and oversee the set-up, execution, and breakdown of events.
  • Manage event budgets and ensure cost effectiveness.
  • Develop creative strategies to increase event attendance and community engagement.
  • Build and maintain relationships with local community organizations and businesses to foster partnerships and collaboration.
  • Act as the primary point of contact for event inquiries and customer feedback.
  • Strong customer service skills with the ability to engage with customers in a friendly and professional manner
  • Other related duties as assigned.
  • High school diploma required.
  • Bachelor’s degree in event management or related field is preferred.
  • Proven experience as an event coordinator or similar role.
  • Ability to work in a fast-paced environment while maintaining attention to detail.
  • Excellent communication skills, both verbal and written.
  • Previous experience working with people with diverse abilities preferred.
  • Strong leadership and organization skills.
  • Strong project manager skills.
  • Excellent interpersonal and communication skills.
  • Availability to work flexible hours (including nights, weekends, and holidays).
  • Valid Driver’s License and clean driving record.
  • Must pass Child Abuse History and Criminal Record Check Clearances and not be excluded from State of PA Exclusion Lists.
