Job Description

Summary/Objective

The Events and Marketing Coordinator is assigned leadership responsibilities to successfully execute Banquet and Catering Events and develop and execute eCommerce strategies with emphasis on Food and Beverage and overall hotel marketing for assigned hotel. Working with the General Manager, Director of Sales, Assistant General Manager, and the Food and Beverage Manager to drive revenue potential for assigned property and ensure customers have a memorable hotel experience.

They develop and execute eCommerce/marketing action plans, manage Event Orders and work with Food and Beverage Manager to schedule and assign tasks to execute Event Orders. Similarly, this person maintains positive interdepartmental relations, supplements leadership coverage, and completes special projects as assigned by the Director of Sales.

Banquets and Catering – Event Management

Attend weekly Event Order meeting with Leadership Team; lead efforts to communicate events effectively to the Operations Teams. Recap past event performance with the team.Create, distribute, and post required Event Order communications weekly in all applicable areas and update as needed.Attend Weekly Sales Meeting with Director of Sales and General Manager.Respond to voicemails, emails and phone calls in a timely manner.Conduct Hotel Site Tours as needed.Act as the on-site point of contact as neededMeet and greet on-site event and group contacts.Prepare Group Resumes.Guest Relations: Follow up on Groups and Event Contacts to solicit feedback regarding overall satisfaction.Attend daily staff meetings. Review Arrivals, Departures, Groups in-house, events and VIPs.Attend Food and Beverage Department Meetings.Complete MOD Checklist as assigned.Complete Daily Checklists as assigned.Conduct Daily Property Walk to ensure hotel cleanliness and maintenance are up to standard. Follow up with appropriate departments as needed.Ensure proper set up, according to EO’s, and cleanliness standards are met in all function space areas.Cover shifts as determined by business patterns.Oversee execution of client events and delegate duties as needed.Manage and follow up on consumption reports for accuracy and accounting.eCommerce Management

Create and develop separate social media marketing plans for the hotel and the outlets.Schedule and appropriate number posts weekly for hotel and outlets.Ensure relevant invoices are delivered to Accounting Manager and General Manager so that payment may be made promptly and prior to the performance date.Design visual content for social media programming as needed.Update events on websites monthly or as needed.Maintain brand website according to brand audit standards.Follow brand standard guidelines for social media programming and site content.Complete Required Training and ongoing training as needed.Identify operational opportunities that impact the effectiveness of marketing activities and overall hotel sales performance and work with Director of Sales and General Manager on solutions.Professionalism

Approach all encounters with guests and team members in a friendly, service-oriented manner.Maintain regular attendance in compliance with Peachtree Hospitality Management standards, as required by scheduling, which will vary according to the needs of the hotel.Maintain high standards of appearance and grooming.Always comply with Peachtree Hospitality Management standards and policies to encourage safe and efficient hotel operations.Develop a full working knowledge of the operations of the hotel, including Food and Beverage, Guest Services.Performs other duties as requested by management.Competencies

Must be able to convey information and ideas clearly, both oral and written.Must work well in stressful, high-pressured situations.Must be able to evaluate and select among alternative courses of action quickly and accurately.Must be effective in handling problems in the workplace, including anticipating, preventing, and identifying and solving problems as necessary.Must be effective at listening to, understanding and clarifying concerns and issues raised by team member and guests.Must have the ability to assimilate complex information, data, etc., from disparate sources and consider, adjust or modify to meet the constraints of a particular need.Must be able to work with and understand financial information and data, and basic arithmetic functions.Must be able to prioritize departmental functions to meet due dates and deadlines.Physical Demands

Long hours sometimes required.Light work-exerting up to 20 pounds of force occasionally, and/or 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.Travel Required

0-10%Required Education and Experience

High School diploma or GED certification preferred, and/or equivalent work experience.College Degree is preferred.Sales/Brand experience is preferred.Food and Beverage experience is preferred.Well organized and detail oriented.Ability to work independently as well as part of a team.Display initiative, perseverance, and analytical skills.Available to meet guests which may include weekends.
