Frost Brown Todd LLP, a national law firm with 1000+ legal and business professionals in seventeen offices, is currently searching for a full-time Paralegal Manager to join our firm. The Paralegal Manager will provide oversight of Paralegals and Other Professionals, working very closely with key stakeholders -- e.g., Practice Group Leaders (“PGLs”), attorneys, Human Resources, Directors of Practice Services (“DPS”), Office Managers, and others -- to attract, retain, develop and support talented Paralegals and Other Professionals to assist FBT attorneys in delivering excellent and efficient service to our clients. The Paralegal Manager is expected to create a positive and inclusive work environment that encourages teamwork, cooperation, and collaboration across groups, teams, and offices.

Job Responsibilities Include:

  • Building relationships and fostering a cohesive team work ethic among all Paralegal teams to support improved work distribution, productivity, training, and development.
  • Conducting regularly scheduled meetings with Paralegal teams to foster a team mindset, share information, conduct training, communicate new policies and procedures, etc.
  • Regularly visiting FBT offices to engage in person with paralegals, other professionals, PGLs, attorneys and other stakeholders.
  • Monitoring utilization, productivity, timekeeping and other financial metrics to achieve firm goals and address issues. Ensuring effective distribution of workloads and case management. Coordinating and managing PTO requests (incl. holiday coverage schedule). Reviewing and approving hourly timesheets.
  • Developing a pipeline of talented professionals, from recruiting new team members to the advancement/promotion of existing team members to succession planning for retirements and departures.
  • Developing and implementing strategies to ensure the appropriate development, mentoring and training needed to build and maintain high-performing teams of paralegals and other professionals.
  • Monitoring individual performance, tracking competencies, documenting and providing feedback as well as addressing performance issues. Assisting HR with managing the performance review process and participating in evaluation conferences as needed. Working closely with HR on performance, compensation and promotion processes and decisions.
  • Preparing the annual expense budget, including evaluation and recommendation of new hire requests. Taking the lead on the establishment of the annual hours budget and billing rates for timekeepers.
  • Identifying and assessing hiring needs, obtaining approvals, and helping define job descriptions. Working with Recruiting to interview candidates and recommend and make hiring decisions. Assisting with new hire orientations and managing integration strategies.
  • Training and communicating with attorneys on best practices for working with paralegals and other professionals, and train attorneys on substantive topics for which paralegals are responsible.


Job Requirements:

  • Bachelor’s Degree preferred or an equivalent combination of education and applicable experience.
  • 5+ years of relevant managerial or leadership experience, which may include experience in a professional services firm, law firm or in-house legal department, corporate environment or government agency.
  • Previous experience in a professional services firm or law firm is highly desirable. Experience as a paralegal or familiarity with the role of paralegals is helpful, but not required.
  • Ability to work over 40 hours per week and travel as needed across the firm’s footprint. Weekend travel may be required from time to time. Travel time estimates are moderate (10-15%).
  • A career progression that demonstrates successful pattern of more complex leadership assignments and responsibilities.
  • Demonstrated diplomacy and professional presence to gain the confidence of internal stakeholders as a trusted advisor.
  • Ability to collaboratively work with multiple stakeholders to achieve buy-in and results.
  • A commitment to handle confidential and sensitive information with the appropriate discretion.
  • Strong management coaching skills. Strong planning and organization skills.
  • Excellent written and oral communication skills.
  • Ability to manage many projects at once, problem solve, and work well under tight time constraints.
  • Strong business and financial acumen.
  • Proactive approach and the ability to work “hands-on”, as required.
  • Ability to work well with many different types of individuals in challenging situations.
  • Cross-cultural skills and awareness related to individuals from broad backgrounds, races, ethnicities, religions, gender, sexual orientation, gender identity and disability, among others.
  • Ability to understand unconscious bias and its effect on recruiting, hiring, performance and advancement.
