Position Description

The Program Coordinator provides administrative/project support to the Center for Professional Development (CPD), the Law School’s career advising office. This position reports to the Assistant Dean of CPD.

This role shall serve as the first point of contact for a busy office.

Duties and Responsibilities

  • Perform general administrative support for the assistant dean and associate directors of CPD, as well as occasional support for the associate dean for student development.
  • Greet students and visitors, answer telephones, provide and receive information, take messages, and provide appropriate referrals and services to the Law School and University community.
  • Provide prompt and clear communication with students, employers, teammates, etc. Schedule meetings.
  • Coordinate logistics and execution for all on-campus recruitment events (in person and virtual platforms), including gathering application materials, scheduling, set-up, food orders, etc. Plan, coordinate, and advertise a wide range of events each year.
  • Plan and schedule logistics for various annual events (e.g. workshops for first-year law students, regional career fairs, networking receptions, pop-up shops for donated professional attire, etc.)
  • Assist with tracking of department expenditures (e.g. organizing invoices for legal subscriptions, assisting with submission of reimbursement requests, etc.)
  • Assist with maintenance of the department’s communication channels by promoting events and information via blog, Symplicity, LinkedIn, and internal announcements. Manage job board and postings, events, scheduling, announcements, and communications through the Symplicity CSM system.
  • Word process letters, forms, memos, and reports. Engage in data collection and entry to spreadsheets, sort data, and generate reports.
  • Search for and enter job postings to internal database and manage the recruiting software (Symplicity). Stay apprised of Symplicity updates and act as liaison between CPD and Symplicity contacts.
  • Perform office support tasks: file documents in a shared drive, distribute mail, manage print tasks and make classroom reservations for presentations. Maintain department supplies and inventory. Handle all incoming and outgoing career services reciprocity requests from students and alumni, as well as from other law schools. Respond to or refer out emails received in the public mailbox. Arrange logistics for CPD programs and services (e.g., parking passes, food and beverage orders, signage, etc.). Verify and share CPD event dates with Law School calendar and events staff.
  • Hire and supervise work-study students when needed.
  • Multi-task and handle coordination of multiple projects simultaneously. Contribute and provide staff support to other law school departments for major events in the school as necessary.
  • Other duties as assigned.

Qualifications

  • High school diploma or equivalent (GED) plus two or more years of progressively responsible office support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
  • Must have document processing and spreadsheet experience; Microsoft office suite expertise is required.
  • Exceptional attention to detail, accuracy, and organizational skills, with the ability to manage time and tasks per schedule requirements.
  • Ability to comprehend and interpret University policies and procedures.
  • The successful candidate will have excellent communication skills, feeling equally comfortable greeting and connecting with students, as well as working effectively with local and national law firms and organizations. This communication will be done in person, over the phone and over the internet with Zoom and Teams.

Preferred Qualifications

  • Associate or bachelor’s degree.
  • Experience working in an education, legal, or recruiting setting.
  • Familiarity with Symplicity.

Compensation At a Glance

Salary Range: $45,000 - $52,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.

Hybrid Eligible*

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university’s discretion.
