Bentley ProjectWise provides full document management functionality and design collaboration between our business partners and VDOT. 

Obtaining access

Each individual in a firm must have their own ProjectWise account. Sharing a ProjectWise account is a Commonwealth of Virginia security violation and is not allowed. Each individual will need to follow the process to get a ProjectWise account. 

Contractor accounts are Bentley IMS accounts that are used to view proposals from the CABB page.  Your account (which is your email address) will be added to the “VDOT” organization if your email address is not already associated with Bentley because of a previous relationship.   
    
Consultant accounts are also Bentley IMS accounts that are used to upload plans/documents into ProjectWise.  When Design Technologies creates the VDOT ProjectWise account, you will then be able to access the desired data based off your companies' projects.

Forms LD-899 and ITD36E are required to access VDOT’s ProjectWise; we are now utilizing an automated process via DocuSign. The LD-900 and 900A forms are also utilizing DocuSign.  Once Design Technologies receives the forms and verifies your information you will receive and email from the Design Technologies group that a ticket has been created to have your account created.  Once your account has been created you will then receive another email from Design Technologies stating that your account has been created along with additional documentation. 

  • LD-899 and ITD36E - New Account request for access to VDOT's ProjectWise.
  • LD-900 - Consultant Project Access Request; gets routed to VDOT PM for approval.
  • LD-900A - Consultant Project Access and Locality Access Request for Locally Administered Projects (LAP). 

If you create your Bentley account before submitting the two access forms to VDOT, you will receive a 404 error (ProjectWise link was not found) - that is to be expected.  You do not have an account; therefore, you will need to submit the proper forms.

CII access for external users

External users will need a COV domain account with a VDOT email address if they are required to access ProjectWise Critical Infrastructure Information.  The VDOT PM will be responsible to set up the external users COV domain account.  Once you have established a COV domain account you will then receive an email with instructions on your next steps.   Once you have a COV domain account the VDOT PM will need to enter in a SARA request to grant access to ProjectWise CII. 
  

The VITA Customer Care Center (VCCC) will entitle your COV domain account for CII access one of two ways:

  1. Send an email to your external email address that they have on file.
  2. The technician will need to email your VDOT PM.  

You will need to let the VCCC analyst know that you are not on VDOT’s network. They will need to set the account up to not force a password change on first login.

While on the COV network or via virtual private network (VPN) Log in to https://virginia.okta.com/enduser/settings using your Commonwealth of Virginia (COV) credentials. Click the Edit Profile button, type your COV password into the Password field, then click Verify.  You will be asked to authenticate using your preselected multi-factor authentication method (SMS, Google Authenticator or Voice). The change password section will now let you create a new password for your COV account. Please note if this is done while not on the COV network your computer password will not sync until connected to COV either hardwired in or via COV VPN.  You MUST login to your account once every 30 days and change your password every 72 days.

When the access to ProjectWise CII is granted, you will login using COV\yourfirstname.yourlastname (this could be different due to others with similar names). The password will be your COV password that you set up at https://virginia.okta.com/enduser/settings.    

Access to Critical Infrastructure Information to Currently Advertised projects:

  • Any contractor or supplier interested in bidding or obtaining any projects that have Critical Infrastructure Information/Sensitive Security Information (CII/SSI) in the advertised plans is subjected to a completing a Multi-Purpose Non-Disclosure Agreement (NDA). Part B of the agreement must be completed by an Authorized Agent once per project, per company. Authorized Agent is defined as an individual with signatory authority recognized by VDOT for said company.
  • In order to start this process, please send an email to [email protected] with the completed Multi-Purpose Non-Disclosure Agreement (NDA) along with a photocopy of the requestor’s government issued identification (i.e. driver’s license, passport, etc.) Please place in the subject field of the email “To Obtain CII Access.” Further guidance is included in the CII advertisement.  These CII file(s) can be viewed during the advertisement window. Access is removed for external user at the date and time of letting.
  • Once the NDA has been received and reviewed, the requestor should be granted electronic access to the proposal and/or plans and will receive an email from [email protected] confirming access.
  • Access to CII Information may be viewed through either ProjectWise Web Client or ProjectWise Explorer during the advertisement window only.

It can take up to 24 business hours once the proper forms have been submitted to Design Technologies.  
LD-899 and ITD36E Form 

External users will need to fill out the LD-899 and ITD36E forms to request your ProjectWise account creation.  Your login will be your email address and your password will be established using Bentley IMS.

If you do not recall your password or you have let it expire then you will need to contact the VCCC at 866-637-8482.  

For external users whose account is administered by VDOT, an email to the Design Technologies helpdesk and we will reset your password.  You’ll receive an auto generated email from Bentley to reset your password.
