ACKNOWLEDGEMENT

We would like to express our gratitude to Allah SWT for giving us opportunity and
help us endlessly in finishing the Modul of Thesis Formatting with Ms Word. The
masterpiece has led to development of Thesis Template that readily used and applied
to all USM community network. A very special gratitude goes out to all in the team –
The top management of USM Library and the founder of Strategic Program in the
Research Support Service (SPiReSS), Encik Mohd Nasir Md Rashid and all the team
members. In particular the USM Thesis Formatting team members; Mdm. Jamilah
Hassan Basri, Mdm. Lizawati Muhammadan, Mdm. Noor Adilah Azmi, Mdm.
Rosnani Ahmad and Ms. Rabiahtul Adauwiyah Abu Hanifah for commitment,
patience in overcoming numerous obstacles in finishing the task. Moreover, in
completing of the template, we had to take the help and guideline of some respected
persons, who deserve our greatest grattitude; Dr. Mohd Zuli Jaafar and Mr. Wan
Zuki Wan Azman from the MZJ Formatting Team for guiding and helping us in
numerous consultations. Last but not least, to Mdm. Nur Husna Mansor and the team
members from the Institute Postgraduate Studies (IPS) for taking input, advice and
involvement in updating the USM Guidelines in finishing the template. A special
dedication to the participants that had attended Research Support Workshop in USM
Library. Thank you for the tremendous positive feedbacks given along with the
continous support received.

INTRODUCTION

1.1 Thesis Template by USM Library

The establishment of the Strategic Program in Research Support Services

(SPiReSS) in USM Library is to facilitate researchers in their research activities. The

target participants are the novice and active researchers - undergraduates,

postgraduate and academicians – for SPiReSS service segments cater the essential

tools and skills required in the research cycle activities. One of its service segments

that has begun since 2015 until now is Thesis Formatting using MS Word (TFW)

module, which covers the basic formatting techniques for academic writing using

MS Word template utilities and applications. Throughout the sessions held, this

module has obtained tremendous positive feedbacks from its participants. From basic

formatting, more complex skills have been embedded in the module and due to this,

along with the continuous support received, a need to develop and establish an

official thesis template to be readily used, applied and modified by these researchers

has arisen

CHAPTER 4

THESIS TEMPLATE USING MS WORD

4.1 Introduction

Microsoft Word is the most widely used word processing software all over the

world. In 1981, Charles Simonyi and Richard Brodie had developed the first version

of Microsoft Word and was released in October 1983 for Xenix and MS-DOS.

Microsoft Word for Windows 1.0 was followed by Microsoft Word 2.0 in 1991 and

Microsoft Word 6.0 in 1993, then it was renamed to Microsoft Word 95 and Microsoft

Word 97, Microsoft Word 2000 and Microsoft Word for Office XP. The release of

Microsoft Word 2003, the numbering was again year-based such as Microsoft Word

2007, 2010, 2013, and most recently, Microsoft Word 2016 have been released for

Windows.

Table 4.9 Thesis Template using MS Word

Table 4.10 Thesis Template using MS Word

4.2 Key terminology in MS Word

Microsoft Word is used to create document like memos, cover letter, resume,

meeting, essays and technical document. However, to write a long formal document

19
such as thesis and dissertation, it will require a greater preparation than writing a short

essay. Most universities required a strict formatting requirements and layout

instructions. As a students, you are restricted to set up the margin setting, line spacing,

paragraph style and lots of other things of your documents. You need to fully utilize

all the features of Microsoft Word because it will help you to minimize your effort

into styling your thesis and it will give you a professional looking document.

On the Insert tab, the galleries include items that are designed to coordinate

with the overall look of your document. You can use these galleries to insert tables,

headers, footers, lists, cover pages, and other document building blocks. When you

create pictures, charts, or diagrams, they also coordinate with your current document

look.

Table 4.11 Key terminology in MS Word

Term Definition

Navigation Pane The Navigation Pane is a great feature that lets you easily skip
between sections, but even more useful is the ability to use it to
reorganize your documents.

Headings Headings make text stand out and help people scan your
document.

Multilevel List A multilevel list is a list with more than one level. For
example, in the picture is an example of a multilevel bullet list
and a multilevel numbered list

Styles Style is a collection of formatting instructions. You

use styles to format the paragraphs in your document. So you
would use the "Title" style for your title, "Body Text"style for
body text, "Caption" style for the picture captions, and
"Heading 1" for the major headings.

On the Insert tab, the galleries include items that are designed to coordinate

with the overall look of your document. You can use these galleries to insert tables,

headers, footers, lists, cover pages, and other document building blocks. When you

20
create pictures, charts, or diagrams, they also coordinate with your current document

look.

4.2.1 Learn about Ribbon

Actually you can groups your tools by task, and the commands you use most

frequently are close at hand. In Word 2010 and 2013 , you can even customize the

Ribbon so that the commands you use often are all together by right click the dialog

box launcher . Follow these steps:

Table 4.12 Steps : Head your cursor at box launcher and click. Select the

The small arrow, called the Dialog Box Launcher , in the lower-right corner of

a group, points to more detailed or advanced options available for the commands in

the group. Click the arrow to open a dialog box or a task pane where you can work

with the available options as shown in figure 2.3.

4.3 What is a styles?

A style is a collection of formatting settings saved with a name in a document

or template that you can apply to text at any time. It also a predefined set of formatting

specification of font and paragraph setting. So, once you apply a style, Microsoft

Word will format the text according to how the style has been defined.

CONCLUSION AND FUTURE RECOMMENDATIONS

5.1 Conclusion

On the Insert tab, the galleries include items that are designed to coordinate

with the overall look of your document. You can use these galleries to insert tables,

headers, footers, lists, cover pages, and other document building blocks. When you

create pictures, charts, or diagrams, they also coordinate with your current document

look.

You can easily change the formatting of selected text in the document text by

choosing a look for the selected text from the Quick Styles gallery on the Home tab.

You can also format text directly by using the other controls on the Home tab. Most

controls offer a choice of using the look from the current theme or using a format

that you specify directly.

To change the overall look of your document, choose new Theme elements

on the Page Layout tab. To change the looks available in the Quick Style gallery, use

the Change Current Quick Style Set command. Both the Themes gallery and the

Quick Styles gallery provide reset commands so that you can always restore the look

of your document to the original contained in your current template.

5.2 Recommendations for Future Research

On the Insert tab, the galleries include items that are designed to coordinate

with the overall look of your document. You can use these galleries to insert tables,

headers, footers, lists, cover pages, and other document building blocks. When you

create pictures, charts, or diagrams, they also coordinate with your current document

look.
