PETTY CASH BOOK

This is used to record small expenses such as postage stamps, envelops, transport fares,
newspapers, stationery and other small items needed in the office. The word ‘petty’ means
small. We cannot pay for them with cheques because they are too small. It is also a book of
original entry and also a ledger account for petty cash. The cost of each of the small items is
recorded in the petty cash book instead of the ledger. The total expenses are transferred to
the ledger as a petty cash account.

Columns In a Petty Cash Book


DEBIT SIDE

CREDIT SIDE
On the credit side we have the analysis of expenses of a ledger account. This has different
columns for different expenses e. g stationery, postage, transport, etc.
Recording of Receipts and Payments in Petty Cash Book
1. The credit entry is made in the cash book
2. The debt entry is made in the petty cash book
3. The entries on the credit side of the petty cash book are first made in the total column
and then, extended into the relevant expenses column,
4. The expenses columns have various headings for different expenses,
5. The last column of the petty cash book is known as a ledger account.

The above table is a petty cash book.

IMPREST SYSTEM
This is a method used in controlling the amount of money to the petty cashier. A fixed
amount called Imprest is given to the cashier weekly or monthly to pay for small expenses.

At the end of the period, the petty cashier gives account of what she spends and the balance
remaining. The amount spent will be reimbursed. This process of giving a petty cashier some
amount of money for petty items at the beginning of every month is called “Imprest
system”. IMPREST SYSTEM: This is an effective way of making money available for minor expenses
and keeping accurate records in the petty cash book

The sum of money giving to a petty cashier is called “Cash float”. Also, the document used in
raising petty cash is known as a “Petty Cash Voucher”
Petty Cash
Petty means small.
This is a small amount of money given , that is used for making immediate payments for
small expenses. The petty cash is managed by an assigned person known as the petty
cashier.
REIMBURSEMENT: This involves giving the petty cashier more money at regular intervals to
cover the amount so far spent. Reimbursement is meant to maintain the level of the float.
Retirement: This is the process of returning the amount of money not spent after the actual
money has been spent on a specific item. For example, account issue out/give out N10000
and out of this money, N8000 was spent on a particular item. The remaining N2000 which is
not spent will be returned back to the accountant which is called retirement.

Meaning of Cash Book

A Cash book is a book of account for recording cash receipts and cash payments. A Cash
Book is one of the most important books of account. It is used only for recording cash
transaction. A cash book, apart from the ledger is also a book of original entry.

Rules for Making Entries in the Cash Book


When making entries in the cash book, the following rules should be followed:
1. Enter all cash received on the debit side of the cash book.
2. Enter all cash paid out on the credit side of the cash book.
3. Enter the name of the receiver and the payer in the particular’s column

Types of Cash Book

There are three types of Cash Book

a. Single Column Cash Book


b. Double Column Cash Book
c. Three-Column Cash Book

We shall discuss each of these in detail:

Single Column Cash Book

The single Column Cash Book is drawn as follows: The single cash book has only a single
column on the debit side for cash receipts and another on the credit side for cash payments.

Two-Column Cash Book


A two-column cash book is used for recording a combination of bank and cash transactions.
It has one column for each of cash and bank transactions on both debit and credit sides. It is
drawn as follows:

Rules for Making Entries in the Two-Column Cash Book


Sometimes money is taken from the bank to a cash box in an office or shop. At other times,
cash is taken from the office or shop and paid into the bank. Such transfer is called Contra
Entry. They must be recorded in book accounts: cash and Bank accounts. Contra Entry is
denoted with ‘cc’. The word ‘Contra’ is Latin word which means ‘opposite’

For example, when money is transferred from the cash box in an office, the bank receives
the money, and is therefore debited, the cash account which gives the money, must also be
credited.

The Three Column Cash Book

The three column cash book is the same with the two-column cash book but with an
additional column for discounts on both sides of the account.

The Discount column in the debit side records discount allowed to customers by the
organization while the credit side records discount received by the organization.

PRINTER’S CORRECTION SIGNS


Proof reader’s mark also called printers correction signs are marks used when amendments
have to be made in typewritten or handwritten work of which fair copy is to be typed. These
marks indicate problems in the text and suggest solutions. Correction marks come in two
ways which is abbreviations and abstract symbols. Below are some correction signs .

Nigeria is one of the countries in the world where

farmers produce yams in abundance. The annual production is


celebrated in some parts of the country. This is called the
festival of the new yam. Most farmers’ wives arranged for
the sales of these yams starting from early in the month of
June when the new ones are being harvested. Those who love
pounded yam in some states in this country would pay any
amount of money for a few pieces of yam sold on our highways.
in recent years, the promotion of agriculture has
encouraged many people to start farming on a small scale
this has, in fact, led to mass production of yams, maize,
tomatoes, vegetables, and even poultry.
sometime in the mid-seventies, the ministry of Agriculture

of some state government sold poultry cages and 20 layers to

those willing to buy at a reduced price. Those who accepted


the offer at that time are, today, big poultry farmers.
the austerity measures notwithstanding, yams have now
become the most staple foodstuff in our country. They are
readily available in our markets in large quantities throughout
the year. Different types of foods can be made from yams;
these include fried yams, porridge and the most popular-
pounded yam. It is hoped that very soon, mechanised farming
will help farmers with mass production.

Line spacing determines the amount of vertical space
between the lines of text in a paragraph.
Paragraph spacing determines the amount of space above or

There are three settings in word control line spacing.

ENTER KEY
The Enter also called Return key is the key that is pressed on the
keyboard to make the computer start a new line of writing or perform
an action .The Enter key was originally the return key on a typewriter ,
which cause the carriage to return to the beginning of the next line on
the paper.
A typist can use the Enter key to indicate many options, including:
okay, save, Go and proceed when working on the internet. The Enter
key can also be used to create space, manually, between paragraphs by
tabbing it twice after each paragraph.

Teachers are to teach the students how to set the margin with their
computer. The type shape he/she wants the typing to look like either
portrait or landscape and how to connect the computer to the printer and
print the document the students have typed.

THE MEANING OF PAGE SET UP.


Page set up is a group of options guiding the way a document on the
computer system is set for printing. It helps to set the paper size, font size,
margin to determine what the final document will look like.
Options in the page set up dialogue box include margins, page guide , size
and quality of print.
A margin is a space separating text or other elements from the edge of the
paper . it is the commonly adjusted through the page set up.
Most programmes allow for the top , bottom , left and right margins to be
set. The standard margin settings are 1st top and bottom and 1.25 left and
right.
To access the page set up dialogue box in Microsoft word 2010, click file
on the top menu bar , this will take you to a list of icons , click print , then
click page set up.
NEW PAGE .
TO SET UP A NEW PAGE.
To set up a new page in Microsoft word 2010, click file , then click new
from the list of icons , this will take you to another list of icons , click blank
document and then click create to go to a new page.
CORRECT PAGE ALIGNMENT.
One of the basic typing specifications for laying out a document page is
determining how the texts will appear. This is called page alignment.
Lines of words can be aligned in four ways;
1 Left Alignment
2 Right Alignment
3 Centre Alignment
4 Justify Alignment.
LEFT ALIGNMENT;
Here the text will be aligned to the left margin of the document.

Meaning of memorandum: Memorandum is also known as memo. It is the correspondence or


messages exchanged by people in the same organization For example, the principle of the school
can send a memo to all the teachers to pass information.

Unlike letters, memos have no salutation and no complimentary close. Depending on the length of
the message , a memo could be typed on half sheets or full sheets. Many organization now use
standard memo forms containing the key words such as To, From and Date.

FEATURES OF MEMORANDUM
1 Memo Heading: A memo heading includes the name or designation of the
person , the memo is being sent to ( TO) .who the memo is from( FROM) . the
date the memo is being sent (DATE) and what the memo is about.(SUBJECT).
All lines of the heading should begin at the left margin and align (line up).
You should double space in between the parts of the heading. Also you
should TAB as follows;
1 Tab twice after typing TO;, to key the name.
2 Tab once after typing FROM;, to key the name.
3 Tab once after typing DATE;, to key the subject. The subject information
should be in ALL CAPS
Body of the Memo
The paragraphs of the memo should begin at the left margin and be in single
line spacing in between paragraphs.
NAME /INITIAL
A double space should be left below the body of the memo to key in the
name or initial of the writer.
ATTACHMENT / ENCLOSURE
If another document is attached to a memo , the word ‘Attachment ‘ is keyed
at the left margin , after leaving a double spacing below the reference name
or designation. If a document accompanies the memo , but is not attached to
it ,type the word Enclosure ‘.

DEFACEMENT OF DOORS

Several doors of Green House have been defaced through pinning of notices. When
the notices are subsequently removed, ugly pin marks are left on the doors.

and press enter key on the keyboard. Yahoo home will display

line spacing, with double line spacing in between paragraphs.
